Short version: Taskly stores app data in Apple CloudKit. We use OpenAI (via a Firebase proxy) only to moderate usernames, display names, and completion photos for inappropriate content. We do not sell your data. You can delete your account at any time from within the app, and we remove your profile and most associated data, but some records in Apple CloudKit public database may remain when those records are owned by another user.

2. What information we collect

Account information
When you sign in with Apple, we receive your name and email address as provided by Apple. You may choose to share a private relay email address instead of your real one. That choice is entirely yours.

Profile information
You choose a display name and optional username when setting up your profile. You may also add an optional contact email address. This information is visible to other Taskly users you connect with.

Content you create
Taskly stores the following content you create:

  • Tasks: title, description, due date, recurring schedule, and location
  • Completion photos: photos you take to prove a task is done
  • Notes: comments you write on tasks
  • Saved locations: names and addresses you attach to tasks

Connection data
We store records of which users you are connected with, including connection requests, decisions, and assignment permissions.

Notification data
CloudKit manages push notification delivery through Apple's servers. We do not store or access your device token directly.

3. How we use your information

  • To provide the Taskly service: creating, assigning, and completing tasks between connected users
  • To send push notifications about task assignments and completions
  • To moderate usernames, display names, and completion photos to ensure content is appropriate

We do not use your information to serve advertisements. We do not sell your information to any third party.

4. How we share your information

With other Taskly users
Your display name and any tasks you create or are assigned to are visible to connected Taskly users who have access to those tasks (including task creators and assignees). Completion photos are visible to users who can view the completed task.

Apple CloudKit
All Taskly data is stored in Apple's CloudKit service. Apple acts as our data processor for storage. Your data is subject to Apple's Privacy Policy.

Google Firebase
We use Firebase Cloud Functions as a secure proxy to perform content moderation. Your username, display name, and completion photos are temporarily transmitted through this service solely for the purpose of moderation. Firebase does not store this data beyond the duration of the request.

OpenAI
Firebase forwards usernames, display names, and completion photos to OpenAI's moderation API to check for inappropriate content. This data is used only for moderation analysis and is not used to train AI models. OpenAI's Privacy Policy applies to this processing.

We do not share your information with any other third parties.

5. Data retention

Your data is retained for as long as your account is active. When you delete your account through the in-app "Delete Account" feature, we permanently remove the following data that we can remove within CloudKit ownership constraints:

  • Your UserProfile and username
  • All tasks you created, including their notes and completion photos
  • Notes you wrote on other users' tasks
  • All connection records involving your account
  • Assignment, completion, acceptance/decline, and connection/permission notification records linked to your account
  • Your saved locations

Due to CloudKit ownership and permission constraints, we may be unable to delete or modify some records in the public database that are owned by other users (including some connection and notification records, and task fields on tasks owned by others). In those cases, limited references may remain in CloudKit. Your profile is permanently deleted, your account can no longer be used to sign in, and Taskly suppresses historical records created before your current profile creation date so prior-account activity is not shown after account recreation.

6. Your rights and choices

  • Access and edit: You can view and update your profile at any time from within the app.
  • Delete your account: You can permanently delete your account from Settings → Delete Account inside the app. This removes your profile and most associated data, with limited exceptions described above.

7. Children's privacy

Taskly is not directed at children under the age of 13 and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.

8. Security

Your data is stored in Apple CloudKit, which provides encryption in transit and at rest. Content moderation requests are transmitted over HTTPS and protected by Firebase App Check, which ensures only the authentic Taskly app can make moderation requests.

9. Changes to this policy

We may update this privacy policy from time to time. If we make material changes, we will update the "Last updated" date at the top of this page. Continued use of Taskly after changes are posted constitutes acceptance of the updated policy.
